Privacy Policy
Effective September 8, 2026. Version 2026-09-08-draft.
DRAFT PLACEHOLDER. This policy is a starting point for review by counsel and does not constitute legal advice. Bracketed items are to be completed.
1. Who we are
Wednesday Table is operated by [COMPANY NAME], the operator of Wednesday Table ("we", "us"). This policy explains what we keep about you, why, who sees it, and the choices you have.
2. What we keep
- Your name, email address and, if you give it, your phone number.
- Your home address, if you give it, with how many tables fit, so a club can hold a game at your place.
- Your hometown, birthday (month and day only) and photo, if you add them.
- The clubs, leagues, open plays and tournaments you belong to or sign up for, your answers (yes, no, waitlist), your check-ins, your scores and standings.
- Messages and posts you send through the Service, and the questions you ask a desk.
- Technical records: the time you signed in, the device you signed in from, and an audit trail of actions taken on your account.
- Push notification tokens for the phone app, if you allow notifications.
3. Why we keep it
- To run the days you play: who is in, where, when, at which table, and the scores.
- To tell you about them: invitations, reminders, seat offers, results and messages from your clubs and hosts.
- To keep your record of play across days and seasons.
- To keep the Service secure and to answer support questions.
We do not sell your information and we do not show advertising.
4. Who sees it
- The leaders of a club or league you belong to see your name and what you have chosen to share with that club (email, birthday, whether you host). Members see the members list as the club's settings allow.
- The host or director of a day you are in sees your name, your answer and, at the desk, your check-in and scores. People with a seat at a game at your home see your address.
- Other players see your name on lists of who is in, on seat cards and on standings, as the event's settings allow.
- Service providers who help us run the Service: cloud hosting, email delivery, push notifications, maps and the address finder. They process information only for us. [Counsel to list: Amazon Web Services, Cloudflare, Postmark or Amazon SES, Expo, Google.]
- Authorities, when the law requires it.
5. Email, phone and push
We send email about the days you play and the groups you belong to. Each club or league has its own notification settings on your Me tab, and every email carries a link to those settings. We do not send text messages today; if we add them, you will be asked first. Push notifications from the phone app can be turned off in the app or on your phone.
6. Finding an address
Where a form asks for an address, you can type a business or the start of a street and pick from a list of suggestions. Those suggestions come from Google's Places service. What you have typed so far is sent to Google to answer with, through our servers rather than from your browser, and your name and account are not sent with it. Nothing obliges you to use it: every address can be typed in full, and the finder can be switched off for everyone from the platform's settings.
7. Verified addresses
We mark an email address verified when you act through a link or a code that only that inbox received. Phone numbers are stored unverified until we offer a verification step.
8. Your choices
- Settings lets you change your name, email, phone, address, photo and what each club may see.
- You may close your account at any time. Your name becomes "Closed account", your email, phone, address and photo are removed, and your devices are signed out. The record of the days you played is kept, because other people's standings depend on it.
- You may ask us for a copy of what we hold about you, or for corrections, at hello@wednesdaytable.com.
9. Children
The Service is for adults. We do not knowingly keep information about anyone under 18.
10. Security and retention
Information is stored on servers in the United States with access limited to those who need it. Sign-in tokens are stored hashed. We keep information for as long as your account is open and as needed for the record of play afterwards. [Counsel to specify retention periods.]
11. Changes
We may update this policy. When the change matters, we will ask you to accept the new version the next time you sign in.
