Privacy Policy

1. In short
- We keep what we need to run your events: your name, email, mobile number, ZIP code and the record of the events you play in. Your home address, photo, hometown and birthday (month and day) are optional.
- We do not keep card numbers, bank details or your phone's location, and we keep a tax number only where the law requires it (section 14). We do not sell your information, we do not use it for advertising, and we do not track you across other websites.
- Your information is seen by the people who need it to run an event with you: your club's leaders, the host of an event you are in, and the other players at the table, as described in section 4.
- Some features use AI, such as reading the scores from a photo of a scorecard, helping an organizer write a message, and checking what is posted. Section 5 says what is sent.
- You can see and change what we hold in your account settings, and you can close your account from there at any time.
2. Who we are
Wednesday Table is run by Wednesday Table, LLC, a Texas limited liability company ("we", "us"). This policy explains what we keep about you, why, who sees it, and the choices you have. It applies to the wednesdaytable.com website, the app at app.wednesdaytable.com, the Wednesday Table phone app, and any other site or app we run, including the club pages and websites we host.
3. What we keep and why

A club's leader may have added you from their roster, giving us your name and contact details. A number they gave is never shown to anyone, and nothing is texted to it until you confirm it yourself.
We use this information only to run Wednesday Table: to organize the events you play in, to tell you about them, to keep your record of play, to keep the service safe and secure, and to answer your questions. We do not sell it, rent it, or use it for advertising.
4. Who sees what
- Leaders of a club or league you belong to see your name, your email address, your answers, and whatever you have chosen to share with that club in your settings, such as your birthday or whether you can host.
- The host or director of an event you are in sees your name and your answer, and at check-in your arrival and scores.
- Your mobile number is never shown to a leader, a host, a director or another player. Messages from your club reach your phone through Wednesday Table, without your number being given to anyone.
- Messages and replies you send within Wednesday Table are delivered within Wednesday Table. Sending one does not give anyone your contact details; what leaders see is described above.
- Players with a confirmed seat at an event at your home see your address, once they have said yes. They are asked to use it only to get to the event.
- Other players see your name on lists of who is in, on seating charts and on standings, as the event's settings allow. If a league or tournament publishes its results, a ratings page is made public, or a player shares a picture of the final results, your name may appear there (on a shared picture, your first name only).
- If you report something, the group's leaders and our administrators see what was reported and why. Your name is not shown to them or to the person you reported. We keep who made each report, so the same report is not counted twice.
- Organizers are responsible for how they use what they see. Our Terms require them to use it only for the group.
- Wednesday Table's own administrators can see the information above to support you and to run the service. To answer a support question, an administrator can also see Wednesday Table as you see it, including your Inbox and messages, without being able to change anything. Every administrator action is recorded.
- We share information with authorities only when the law requires it, and with a buyer only if Wednesday Table itself is sold, in which case this policy continues to apply.
5. Companies that help us run Wednesday Table
These companies process information for us to do the jobs listed. If we change a company, or add one for a new job, we update this list.

When you provide personal data in connection with Wednesday Table, Stripe receives that personal data and processes it in accordance with Stripe's Privacy Policy at https://stripe.com/privacy. If you sign up as an organizer to receive payments, Stripe collects your identity and bank details directly; we never see your tax identification number or bank account number. If you pay with a wallet such as Apple Pay or Google Pay, Apple or Google also handles that payment under its own terms.
Text messaging originator opt-in data and consent are not shared with any third party. The categories above exclude that information; it is used only to send you the texts you agreed to.
6. Email, texts and notifications
- We send email about the events you play in and the groups you belong to. You choose what you hear about, and how, in your settings, and every email carries a link to them.
- We send two kinds of text, and you agree to each separately: sign-in and confirmation codes when you give us your mobile number, and game notifications only if you turn them on. Game notifications cover only what you have chosen to follow, such as reminders, changes to an event, a seat that has opened for you, new events that match what you are looking for, and notes that a club, league or event you are part of has sent you a message. Message frequency varies with what you follow. Reply STOP to any text to stop that kind, or HELP for help. Message and data rates may apply. We do not send marketing texts. Our SMS Terms are at wednesdaytable.com/sms.
- Phone app notifications can be turned off in the app or in your phone's settings.
7. Cookies and tracking
We use only the cookies and similar storage Wednesday Table needs to work, such as keeping you signed in and remembering where you were on a page. We do not use advertising cookies, we do not track you across other websites, and we do not sell or share your information for advertising. Because we do none of that, there is nothing to opt out of, and browser signals such as Global Privacy Control are honored by default. Where a page shows a map of an event's location, the map comes from Google, and Google may set its own cookies when it loads.
8. Your choices and rights
Whatever state you live in, you can:
- See and change your name, email, phone, address, photo and what each club may see, in your account settings.
- Ask us for a copy of what we hold about you, ask us to correct it, or ask us to delete it, by emailing director@wednesdaytable.com. We will confirm who you are by sending a code to your email or phone, and we will respond within 45 days. If we decline a request, we will tell you why and you may ask us to reconsider.
- Close your account yourself at any time, as described in section 9.
We do not sell personal information and we do not use it for targeted advertising or for profiling that produces legal or similarly significant effects, so there is no opt-out to exercise for those. Automated checks on what is posted can hide a post or stop a message while a person looks at it; a person, not AI, decides whether an account is suspended or closed.
9. Closing your account
You can close your account from your account settings on the website or in the phone app; you can also email us to ask. When you do:
- Your name is replaced with "Closed account", and your email, phone number, address, photo, hometown and birthday are removed. Your devices are signed out.
- The record of games you played and scores posted is kept, without your name attached, because other people's standings and ratings depend on it.
- Payments you made to an organizer stay in that organizer's records and with Stripe, and our own billing records are kept as the law requires for financial records.
- Copies may remain in our backups for a limited time before they are overwritten.
10. Children
Wednesday Table is for adults. You must be 18 or older to have an account. We do not knowingly keep information about anyone under 18; if you believe we have, email us and we will remove it.
11. Security and where your information lives
Your information is stored on servers in the United States. It is encrypted in transit, sign-in links and codes are stored only in hashed form, and access is limited to the people who need it to run the service. No system is perfectly secure; if we learn of a breach that affects you, we will tell you as the law requires.
12. How long we keep things
We keep your information for as long as your account is open. After you close it, personal details are removed as described in section 9, the anonymous record of play is kept, and security and payment records are kept for as long as the law requires. Our record of something that was flagged or reported is kept with the decision about it. Sign-in codes expire within minutes and are deleted.
13. Changes to this policy
If we change this policy in a way that matters, we will tell you before the change takes effect and ask you to accept the new version, and we will keep the date at the top current.
14. If you are in Canada
If you live in Canada, Canada's federal privacy law (PIPEDA) and, in Alberta and British Columbia, those provinces' own privacy laws apply to what we hold about you.
- Where it lives. Your information is stored and processed in the United States, by us and by the companies named in section 5. While it is there, it may be accessible to courts, law enforcement and national security authorities of the United States.
- Your rights. You can see, correct and ask us to delete what we hold about you, and withdraw your consent to what you agreed to, as section 8 describes. Withdrawing some consents may mean we can no longer provide part of the service, and we will tell you if so.
- Texts in Canada. Where we offer texts in Canada, we send them only with your express consent, each one identifies Wednesday Table, and you can stop them at any time by replying STOP or in your settings. Your number and your consent are handled as sections 5 and 6 describe.
- Organizers in Canada. If you take payments for a Canadian club, we keep your province and, if you give it, your GST/HST number with your billing details, for our tax records. Only if Canadian law requires us to report what organizers receive will we ask for the tax number that reporting needs.
- Our privacy contact is director@wednesdaytable.com. If you are not satisfied with our answer, you may complain to the Office of the Privacy Commissioner of Canada or to your province's privacy commissioner.
